- What is the process and what do we need in order to host an online event?
Steps to an online event:
- Invite people and manage RSVPs online
- Market the event, as with any physical event
- Attendees can then connect and see who is attending through the mobile event app or event website
- Documents, talks and other information can be delivered directly to attendees
- Provide event feedback easily
- Attendees can see the exhibitor offerings and engage with them to enquire further, and can also comment and engage in sessions with the speakers
- They can participate in live or pre-recorded event sessions, and live breakaway sessions
- You can create hype and communicate with attendees
- Get event reports and analytics
You will need a laptop camera (or a full production setup when possible), or pre-recorded sessions to load up onto the platform.
- Benefits and challenges of online events:
- Benefit: You can still have your event and you don’t need to postpone or cancel
- Benefit: You save on venue hire (even with hybrid events where fewer people attend physically in the future)
- Benefit: You can have facilitated speaker sessions and immediate engagement and commenting
- Benefit: You can give online interactive sessions with live quizzes
- Benefit: You can now reach a wider audience – both those that would have attended the event but couldn’t due to unforeseen circumstances, and those who weren’t going to be able to attend because of geographical or other reasons.
- Benefit: Online-only event tickets can be created for people to attend, which creates another potential income stream.
- Challenge: If connectivity and bandwidth are a problem for the attendee, streaming and other features will have a degraded experience.
- Challenge: Maintaining online attendees’ attention will take additional thought as guests can get distracted, but there are ways and means of limiting this through shorter sessions and incentives/quizzes throughout the sessions.
- Challenge: Traditional networking and physical interaction won’t be what guests are used to, but there are ways of connecting attendees and portioning off time on the agenda to focus on connecting.
- How long will it take to load speaker recordings if the recordings are pre-recorded?
Within a day of receiving the recordings
- How long will it take to have a virtual event up and running?
2 – 3 days once all content is received
- If the speakers were to speak via webinar - what would be the best solution (if this was live)
Our suggestion would be for the speakers to either just use their laptop, or if there are a few speakers and there are capabilities to do so, to go to a central studio to run the webinars from there.
- How many people can your system host at one point in time – is there a max attendance?
There is no maximum, but the higher number of people will affect the costs for the system capabilities
- Are we able to have the whole virtual event on one page?
Yes, you can!
- Can the Live Event Page be branded?
Yes, it will have all your branding and colours
- Can delegates engage online? Via typing or speaking?
Yes, there can be interactivity through commenting and even live Q&A sessions
- Are we able to engage with other attendees online?
You can see attendee details, but chats and emails are done outside of the platform at the moment
- Can we set up post-event feedback?
Yes, feedback and surveys are a big part of what we encourage
- Can we get the post-event stats post-event?
Yes absolutely, it’s one of our favourite parts!
